Volunteer appreciation ideas

Thank people without asking more.

The best choice depends on the group’s needs and budget. Ask volunteers what suits them, especially when they have already spent time travelling or covering a shift.

  1. 01

A card from the people beside them

Invite fellow volunteers and coordinators to contribute. Keep identifying information about beneficiaries and service users out of the messages.

  2. 02

    Travel costs handled promptly

If your organisation reimburses expenses, make the process clear and timely. Recognition should not depend on someone being able to pay to volunteer.

  3. 03

A meal at an existing gathering

Use a meeting or event people already attend. Ask about food and access needs rather than adding another trip to receive thanks.

  4. 04

    A reference when they ask

A coordinator can provide a factual reference through the organisation’s own process. Keep that separate from a group card, which is personal appreciation.

  5. 05

A thank you at the end of an event

Ask the team to write while they remember the work. Set the card’s opening date after the event, when the recipient has time to read it.

The organiser’s list

Keep the thanks separate.

Do not attach a fundraising request, a new shift or a recruitment campaign to the card. Let the recipient decide whether to share it.

  • Ask what form of thanks suits the group.
  • Include occasional volunteers.
  • Use agreed channels to share the writing link.
  • Keep beneficiary details out of the card.
  • Deliver it without a new request attached.

AI safety checks

People write.
AI checks.

The check looks for threats, abuse, sexual content, spam and exposed private details. Flagged notes are kept off the card for a person to review.

How the checks work ↗
01

Your own words

AI does not write, complete or rewrite a colleague’s message.

02

A person can correct it

Company cards have a spam folder for managers and admins. On a card bought without an account, the creator reviews set aside notes through their manage link.

03

The limits are clear

AI can miss a note or flag one wrongly. If the check is unavailable, writing still works.

04

Check the data policy

Notes are sent to TypeSafe for the check. Names and card access codes are left out of that request.

From an occasion to a card

Give them
everyone’s words.

  1. 01

    Create the card

Pick a cover, name the recipient and choose when it opens. You can buy one card without a company account.

  2. 02

    Share the writing link

Colleagues contribute in a browser. Each person writes and signs their own message.

  3. 03

They open it on the day

The messages arrive together in one card. The recipient reads it on their phone.

For repeated birthdays, work anniversaries, welcomes and leaving days, use a company account with Slack and BambooHR.

Questions

What can a small charity do?

Consider a card from colleagues, a meal at an existing meeting or a personal thank you from the coordinator. Choose what fits the budget and the volunteers’ preferences.

Do volunteers need an account to sign?

No. They use the writing link in a browser.

Do we have to wait for Volunteer Day?

No. Thank someone after an event, at the end of a project or whenever their contribution should be recognised.

Thank them for the time they gave.
