Team occasions

The last day.
Keep the thanks.

An offboarding checklist for the practical handover and the farewell. Arrange the card before work access ends, alongside your organisation’s own HR and IT process.

Offboarding checklist

A farewell beside the handover.

Your HR and IT teams own the formal process. These steps organise the human part without leaving the card until the person’s company access has gone.

  1. 01

    Confirm the last working day

Check the actual date with the person. Their contract end, last shift and farewell gathering may be different days; use the one they want for the card.

  2. 02

    Agree the handover owner

List the projects, documents and people who need a handover. Keep business records in your company’s systems rather than attaching them to a farewell card.

  3. 03

Invite the people they worked with

Ask colleagues across previous teams as well as the current one. Give them enough notice and keep the invitation limited to the intended writing group.

  4. 04

Choose how they receive the card

Ask for a suitable delivery route before the work address stops working. Do not assume the departing colleague wants a public farewell or a personal address shared with everyone.

  5. 05

    Finish the practical process separately

Follow your company’s rules for accounts, equipment and records. A card is a farewell, not evidence that access has been removed or a handover completed.

The organiser’s list

Before access ends.

Name an organiser for the card and a separate owner for HR and IT tasks. The card should not be held up by equipment collection or account changes.

  • Confirm the date with the person leaving.
  • Choose the colleague organising the farewell.
  • Invite current and former teammates.
  • Agree a reading link delivery route.
  • Review flagged notes before writing closes.

AI safety checks

People write.
AI checks.

The check looks for threats, abuse, sexual content, spam and exposed private details. Flagged notes are kept off the card for a person to review.

How the checks work ↗
01

Your own words

AI does not write, complete or rewrite a colleague’s message.

02

A person can correct it

Company cards have a spam folder for managers and admins. On a card bought without an account, the creator reviews set aside notes through their manage link.

03

The limits are clear

AI can miss a note or flag one wrongly. If the check is unavailable, writing still works.

04

Check the data policy

Notes are sent to TypeSafe for the check. Names and card access codes are left out of that request.

From an occasion to a card

Give them
everyone’s words.

  1. 01

    Create the card

Pick a cover, name the recipient and choose when it opens. You can buy one card without a company account.

  2. 02

    Share the writing link

Colleagues contribute in a browser. Each person writes and signs their own message.

  3. 03

They open it on the day

The messages arrive together in one card. The recipient reads it on their phone.

For repeated birthdays, work anniversaries, welcomes and leaving days, use a company account with Slack and BambooHR.

Questions

When should we start a leaving card?

Before the final week if you can, especially when contributors work different shifts. Set a deadline that leaves time to check and deliver it.

Can the person read it after leaving?

The card uses a browser reading link. Agree a suitable delivery route before their work email or account access ends.

Does this replace our HR checklist?

No. Your organisation’s HR and IT process still handles employment records, equipment and access.

Have it ready for their last day.
